Plain language. What we collect, where it goes, how to exercise your rights, and the basic rules of using the site.
About this page. Zion Springs LLC is a private wedding and retreat estate in Hamilton, Virginia, operating under parent Ozark West LLC. This page describes what personal information the website at zionsprings.com collects, why we collect it, who we share it with, how long we keep it, and how to exercise rights over your information. It also contains the terms that govern your use of the site. We’ve tried to write it in plain language; if a specific provision matters to your decision, you should talk to your own lawyer about it.
The party responsible for personal information collected through this site is Zion Springs LLC, a Virginia limited liability company operating in Hamilton, Loudoun County, under parent Ozark West LLC. For privacy questions: bestdayever@zionsprings.com or (540) 900-3455.
We collect personal information in three ways:
1. Information you give us. When you book a Vision Session, contact us by phone or email, or reserve lodging, we collect what you provide: name, email address, phone number, mailing address, the dates and details of your wedding or stay, and any notes you share. When you become a client, we also collect payment information through a third-party payment processor.
2. Information collected automatically. When you browse the site, our hosting provider and analytics tools record technical details about your visit: IP address, browser type and version, operating system, device type, the pages you view, the time and duration of your visit, the referring URL, and any links you click. Some of this is collected on the browser side and some is collected on the server side. We use it to operate the site, prevent abuse, and improve content.
3. Information from third parties. When you arrive from an advertisement on Meta (Facebook, Instagram), TikTok, Pinterest, or Google, those platforms share their internal click identifiers with us so the conversion can be measured. If you book through our scheduling calendar, our customer relationship manager provides us with the booking confirmation details and links your prior activity on the site to your contact record.
This site uses cookies and similar technologies. Some are necessary for the site to function; others are used for analytics, advertising, and customer-relationship management. Here is the full list, in plain terms:
Necessary cookies and storage. The site loads stylesheets, fonts, and small functional scripts that may set first-party cookies for things like remembering navigation state. Removing these would break the site.
Analytics. Google Analytics 4 (measurement ID G-E0DDBX2H7F) sets first-party cookies (commonly _ga and _ga_*) and records page-level and session-level behavior so we can understand how the site is used. Data is retained per Google’s defaults and processed by Google in the United States and other countries. Google’s privacy policy: policies.google.com/privacy.
Advertising and conversion measurement. The site integrates the following advertising platforms. Each receives information about your visit through a combination of a browser-side tracking pixel and a server-side conversion API that we proxy from our own server. The server-side path receives, at minimum, your IP address and user-agent string; where you arrived via a tracked ad click, the platform’s own click identifier is also forwarded. When you complete a Vision Session booking, a conversion event is sent to all of these platforms so they can attribute the booking and inform future ad optimization.
_fbp and, when arriving via an ad click, _fbc. Privacy policy: facebook.com/policy.php_ttp and may forward TikTok’s click identifier (ttclid). Privacy policy: tiktok.com/legal/privacy-policy_epik and forward Pinterest’s click identifier. Privacy policy: policy.pinterest.com/privacy-policygtag.js). Privacy policy: policies.google.com/privacyUnder California (CCPA/CPRA) and Virginia (VCDPA) law, this sharing of online identifiers and event data with advertising platforms for retargeting and look-alike modeling may be classified as a “sale” or “sharing” of personal information for cross-context behavioral advertising. See Your rights below for how to opt out.
Customer relationship management. Our scheduling calendar and contact management run on HighLevel (also known as LeadConnector). The HighLevel External Tracking script (tracking ID tk_8fcf62d6b5e24fdf828596cd76010804) records page views and form interactions and allows HighLevel to link this activity to your contact record once you identify yourself by booking, calling, or emailing. HighLevel’s privacy policy: gohighlevel.com/privacy-policy
Lodging reservations. The lodging booking system (operated through HighLevel’s bookingplatform.app) collects information necessary to fulfill the reservation — name, contact details, dates, and payment information processed by a third-party payment processor under that platform’s privacy practices.
Hosting and infrastructure. The site is hosted on Cloudflare Pages and the server-side conversion functions run on Cloudflare Workers. Cloudflare logs request metadata (IP address, time, URL, user-agent) for operational and security purposes. Cloudflare’s privacy policy: cloudflare.com/privacypolicy
We do not sell your personal information in the traditional, money-for-data sense. We share personal information with the service providers named above to operate the business and the site. For advertising, we share certain online identifiers and conversion events with the advertising platforms named above, which may be treated as a “sale” or “sharing” under California and Virginia law for the purpose of advertising opt-out rights.
We do not sell or transfer personal information to data brokers, or to advertisers outside the four platforms named above.
We may disclose personal information when required by law (subpoena, court order, legal process), when necessary to investigate fraud or protect our rights or those of others, or in connection with a corporate transaction such as a merger, acquisition, or sale of assets.
Depending on where you live, you have rights over the personal information we hold about you. As a matter of policy, we honor the rights below for everyone, regardless of jurisdiction:
To exercise any of these, email bestdayever@zionsprings.com with “Privacy request” in the subject line and a description of what you want. We respond within 45 days; we can extend that once by another 45 days, with notice, if the request is complex. We may need to verify your identity before acting on a request, especially for deletion, by asking a few questions only the account-holder would know.
You can also opt out of advertising directly with each platform: Meta ad preferences, TikTok personalized ads, Pinterest personalization, Google ad settings. Browser-level options include the Global Privacy Control signal (globalprivacycontrol.org) and the standard advertising-industry opt-outs at optout.networkadvertising.org and optout.aboutads.info.
The site is not directed to children under 13, and we do not knowingly collect personal information from anyone under 13. If we learn we have, we will delete it.
The advertising and analytics platforms named above (Meta, TikTok, Pinterest, Google) operate globally. Personal information shared with them may be transferred to and processed in countries outside your country of residence, including the United States. Each platform represents that it implements safeguards required by applicable data-transfer frameworks.
The site is served over HTTPS. Access tokens and other sensitive credentials are stored as encrypted environment variables on the hosting platform and are not exposed in source code or browser-accessible scripts. Customer relationship records live in HighLevel under that platform’s security controls. No system is perfectly secure; if you believe your information has been compromised, contact us immediately.
We may update this policy. The “last updated” date at the top of the page is the canonical revision date. Material changes will be noted on the page; if you are an active contact in our CRM, we may also email you.
By using zionsprings.com you agree to these terms. If you don’t agree, please don’t use the site. We may update these terms; continued use after a change means you’ve accepted the new version.
You may browse the site, share links to it, and refer it to others. You may not: copy or republish the photography or text for commercial purposes without our written permission; scrape the site programmatically except where standard search-engine crawlers respect robots.txt; attempt to gain unauthorized access to the site, its hosting, or any connected service; or interfere with the operation of the site for other visitors.
The site — including text, layout, design, photography, and trade dress — is the property of Zion Springs LLC. The Zion Springs name and wordmark are our marks. Third-party trademarks mentioned on the site (vendor names, platform names) are the property of their respective owners.
Prices shown on the site — including starting points for weddings, lodging, and facilitated retreats — reflect typical engagements and are confirmed in writing during the Vision Session and booking process. Final pricing depends on date, season, guest count, format, and inclusions. Availability is confirmed at the time of booking; the site is not a real-time inventory system.
When you book a wedding or facilitated retreat with us, the specific contractual terms — deposit, payment schedule, cancellation policy, force majeure, vendor rules — are detailed in the signed booking contract. These site terms do not replace that contract; the booking contract controls in any conflict between the two.
Lodging stays booked through the reservations system are subject to that system’s terms displayed at the time of booking, including its cancellation policy.
The Vision Session is a free, no-obligation consultation. Scheduling one does not commit you to anything.
During weddings, retreats, and other events on the property, the venue and contracted vendors may take photographs and video. Where consent is given in the booking contract, we may use these images for marketing — on this site, in social media, in press materials, and in print marketing. You can opt out of this use at the time of contracting, and you can ask us to remove specific images from public use at any time.
The site embeds or links to third-party services — including HighLevel (booking calendar and CRM), HighLevel’s bookingplatform.app (lodging reservations), Cloudflare (hosting), Google (analytics and ads), Meta, TikTok, and Pinterest (ads), and the social platforms linked in our footer. We are not responsible for the privacy practices, terms, or content of those third parties; their own terms apply when you use their services.
The site and its contents are provided “as is” and “as available.” We do not warrant that the site will be uninterrupted, error-free, or virus-free. We do not warrant that information on the site is complete, accurate, or current; descriptions of capacity, included services, and prices are approximations and may change.
To the maximum extent allowed by Virginia law, Zion Springs LLC and Ozark West LLC, and their officers, employees, and affiliates, are not liable for any indirect, incidental, special, consequential, or punitive damages arising from or related to your use of the site or your reliance on information on it. Our aggregate liability for any direct damages arising from your use of the site is limited to one hundred dollars (US$100). This limitation does not apply where prohibited by law.
You agree to indemnify and hold harmless Zion Springs LLC, Ozark West LLC, and their officers, employees, and contractors from any claim arising from your misuse of the site, your violation of these terms, or your violation of any law or third-party right.
These terms are governed by the law of the Commonwealth of Virginia, without regard to its conflict-of-law provisions. The exclusive jurisdiction and venue for any dispute arising from these terms or the site is the state or federal courts located in Loudoun County, Virginia, and both parties consent to that jurisdiction. Nothing here waives any right to small-claims relief in your home jurisdiction.
If any provision of these terms is found unenforceable, the rest of the terms remain in effect; the unenforceable provision will be enforced to the maximum extent allowed by law.
